Refund Policy

At WebHive Technologies, we are committed to delivering high-quality digital solutions. We take refund requests seriously and handle them on a case-by-case basis with fairness and transparency. Please read this policy carefully before engaging our services.

1. Deposit & Upfront Payments

Initial deposits paid to commence a project are non-refundable once work has begun. Deposits represent compensation for time allocated, team resources, project planning, and preliminary work performed.

Exception: If WebHive Technologies fails to begin work within the agreed timeframe through no fault of the client, the full deposit will be refunded.

2. Milestone-Based Projects

For milestone-based projects, payments for completed and approved milestones are non-refundable. If a client wishes to terminate after a milestone is approved and paid, remaining unpaid milestones are cancelled and no further charges apply.

3. Situations Where Refunds May Be Issued

Partial or full refunds may be considered in the following circumstances:

• Failure to Deliver: WebHive Technologies fails to deliver the agreed deliverables within the agreed timeframe (allowing reasonable grace periods) with no acceptable explanation or resolution.
• Material Non-Conformance: The delivered work significantly fails to conform to the agreed specifications after a reasonable opportunity to fix the issues has been provided and exhausted.
• Project Cancellation by Us: If WebHive Technologies cancels a project for reasons within our control, we will refund payments for work not yet completed.
• Duplicate Payment: If a payment was made in error or duplicated, a full refund will be issued promptly.

4. Situations Where Refunds Are Not Issued

Refunds will not be issued in the following situations:

• The client changes their mind about the project after work has begun.
• The client has approved deliverables and then requests a refund based on a change of preference.
• Delays caused by the client's failure to provide required content, feedback, or approvals on time.
• Dissatisfaction based on subjective preferences not specified in the original brief.
• Work completed in good faith and delivered as agreed upon.
• Third-party costs (domain registrations, hosting, software licenses, API fees) are non-refundable.

5. Post-Launch Warranty

We provide a 30-day post-launch warranty covering bug fixes for issues directly attributable to our development work within the agreed scope. During this period, we will resolve qualifying issues at no additional charge. This warranty does not cover:

• New feature requests beyond the original scope
• Issues caused by client modifications to the code
• Third-party service failures or updates
• Hosting or server-related issues not managed by us

6. Retainer & Subscription Services

For ongoing monthly retainer services, the client may cancel with 14 days' written notice. Work completed within the current billing cycle is non-refundable. No partial month refunds are issued unless agreed in writing.

7. How to Request a Refund

To request a refund, please contact us in writing at [email protected] with:

• Your name and project/invoice reference number
• A detailed description of the reason for the refund request
• Any supporting documentation or evidence

We will review your request within 5 business days. Approved refunds are processed within 10 business days to the original payment method.

8. Dispute Resolution

We are committed to resolving disputes amicably. Before escalating to formal legal action, we request that both parties attempt resolution through good-faith negotiation. If unresolved, disputes shall be governed by the laws of Pakistan as outlined in our Terms & Conditions.
